Purchasing Department Printers and Copiers

Departments are responsible for all costs related to the procurement, maintenance and repair of printers and copiers.

Most departments have multifunction printers (MFPs) that combine printing, scanning, copying and faxing all in one device. The university uses Monterey Bay Systems (MBS) to provide printers and copiers.

All questions (cost, models, capacity, contract, etc.) about the ordering of new printers and copiers should be directed to:

After the purchase, Monterey Bay Systems will contact you when your device is ready to be delivered. They will perform installation, initial setup, and training and support for the printer functions, including account access setup. 

MBS can help you set up the “scan to email” feature of these devices. To have the scanning feature set up or modified, please contact MBS. They can also set up copier access codes. 

Note: Scanning to file servers or computers is not supported.

Individual Printers

After consultation with the Cabinet, and in line with the campus' sustainability initiative, individual printers will no longer be purchased or set up. If you still have an individual printer in your department, please submit a Facilities ticket to pick up the printers.

Servicing Your Printer or Copier

The purchase of all department copiers, paper, toner cartridges, maintenance kits, labels, etc., are the responsibility of the department using the device.

Monterey Bay Systems (MBS) is the university’s supplier of toner cartridges. Monterey Bay Systems also performs all maintenance, repair and upgrade of the department printers and copiers. Contact them at: (800) 848-7575 and be prepared to supply them with the printer number located on the MBS service sticker located on the front of your machine.

Disposal of Old Printers or Copiers

If you have an old copier or printer with a CSUMB asset tag that was replaced or needs to be retired, it needs to be picked up by Facilities and you must also fill out:

  1. Request for Property Survey
  2. Property Survey Report

Recommended Paper

We recommend using 20 lb paper designed for laser printers. In most cases you will find that the paper will be labeled for use in printers, faxes, and copy machines. 

We highly recommend using 30% recycled paper and to not exceed 50% recycle paper, which not only helps reuse paper products, but keeps the machines running at their top productivity.

Using 100% recycled paper increases waste because devices jam more often, wasting not only paper and toner, but also increasing the wear and tear on the printer or copier. In addition, the 100% recycled paper creates an increase in paper dust that can deteriorate the lifecycle of printer parts.

Note: Under no circumstances should paper be reused in a printer, even if nothing was printed on it. The heat and bending that the paper experiences going through a printer substantially increases the chance of a paper jam or other malfunction if it is used again.
