Share with Care When Using Google Drive

Google Drive can be used to store most types of sensitive university data but you are responsible for taking the necessary precautions to ensure that data is protected through proper sharing and access control:

  • Review Google Help Center topics how to share files and how to stop, limit or change sharing.
  • Make sure you, as the owner, are the only one who can share or delete your shared documents by changing the sharing settings to prevent editors from changing access. This is covered in the "Prevent others from sharing your shared files" section of how to stop, limit or change sharing.
  • Share as view-only, unless a specific user needs write access.
  • Revoke sharing rights when they are no longer needed.
  • Review sharing settings at least once each semester.

Remember that reviewing Google file and folder sharing settings regularly is a best practice for protecting your data.
